Position: Volunteer Manager
Job status: Full time/exempt; Tuesday-Saturday with flexibility for additional evenings and weekends as needed, including the first Friday evening of every month.
Summary of Position and Responsibilities
This position is responsible for the successful recruitment, retention, and recognition of interns & volunteers who expand the Museum’s resources and successfully deliver high quality programs to the public. The Volunteer Manager will articulate the mission of the Museum and see that all volunteer-related activities connect with this mission and the Museum’s institutional values. This position will work within a variety of teams within the Museum to train staff on working with volunteers and assist staff in creating volunteer assignments that support the Museum’s overall operations and programs.
The Volunteer Manager will act as the Manager on Duty (MOD) on a regular/as-needed basis, including First Free Friday nights and Saturdays. The MOD manages all staff on duty, creates the staff schedule for the day, and ensures positive visitor experience. The MOD takes the lead in resolving any customer service issues, and MOD ensures that all staff, volunteers, and visitors follow safety procedures in the event of an emergency.
Responsibilities and Duties:
- Work with all Museum departments to define meaningful volunteer opportunities and training needs and to create volunteer job assignments and schedules that correspond to the needs of the Museum.
- Train Museum staff on best practices in working with volunteers and support staff in providing training and orientation to volunteers.
- Develop & implement a recruitment plan that will advance the current volunteer program through expanding internship opportunities, work study programs and engaging both adult and youth volunteers.
- Assure Museum volunteers maintain a high awareness of the Museum’s responsibility to understand and respond to the needs, desires and interests of its audience.
- Conduct interviews, check references and lead potential volunteers on tours of the Museum.
- Maintain the Volgistics online volunteer database by tracking hours and creating monthly reports on volunteer activity in Volgistics database.
- Develop and maintain volunteer recognition program, including ongoing volunteer communications and correspondence.
- Build connections between the staff & volunteers in order to empower both staff and volunteers within their roles and build a sense of community and success.
- Provide high level, professional customer service (internally & externally) at all times.
- Coordinate with the Marketing Department promotional materials and website postings for opportunities available for volunteering at the Museum.
- Participate in Museum committees or other teams as assigned.
- Act as Manager on Duty (MOD) for the Museum on an as needed basis.
Job Qualifications/Specifications
- Bachelor’s degree required.
- 2-3 years experience in Volunteer Management required; 3-5 years Volunteer management experience preferred.
- Knowledge of methods related to the conduct of volunteer programs for non-profit organizations.
- Demonstrated ability to communicate, motivate, lead and relate effectively to a wide variety of individuals; excellent oral and written skills.
- Demonstrated customer service skills.
- Able to develop and manage complex projects and budgets within guidelines.
- Able to work both independently and in cross-functional teams and solve problems creatively.
- Outstanding organizational & time management skills.
- Experience with program evaluation.
- Excellent computer skills including excel, word processing and database management. Experience with Volgistics is a plus.
- Adaptability, flexibility, and ability to see change as an opportunity rather than an obstacle.
- Bilingual highly desirable.
- Current Oregon or Washington driver’s license, auto insurance, clean driving record and use of vehicle for travel to off-site recruitment fairs & events.
- First Aid and CPR Certifications are required.
- Ability and willingness to comply with all aspects and issues outlined in the Portland Children’s Museum Employee Manual.
